Job Description

The Legal Secretary (High Court) is responsible for providing essential administrative support to the legal services department, ensuring the efficient functioning of the office and assisting attorneys in legal procedures. Ideal Candidate

A strong candidate for this position should possess:

  • National Diploma in Business Administration or a Law-related qualification
  • At least 2 years of experience in a legal or business administration environment
  • Proficiency in legal documentation preparation and research
  • Strong interpersonal and organizational skills
  • Ability to maintain confidentiality in legal proceedings
  • Proficiency in English and one additional South African official language

Role Responsibility

The Legal Secretary (High Court) will be tasked with the following responsibilities:

Legal Secretarial Administration

  • Prepare court statements and forms required by attorneys in court
  • Dictate attorneys’ audio files and transcribe written notes
  • Proofread legal documents for accuracy and completeness
  • Index and update pleadings and discovery binders
  • Collect and deliver important legal documents
  • Conduct legal research and liaise with attorneys, vendors, and experts

Standards, Processes & Procedures Maintenance

  • Maintain legal strategy frameworks in accordance with organizational standards
  • Ensure adherence to internal controls, legal policies, and procedures
  • Provide administrative support aligned with RAF governance standards

Quality Assurance Activities

  • Maintain up-to-date written policies and documentation related to legal services
  • Ensure legal compliance and procedural accuracy in administrative tasks

Office Management

  • Handle correspondence, filing, and general administrative duties
  • Maintain confidentiality in all legal matters
  • Follow up on outstanding legal cases and document submissions
  • Ensure availability of office supplies and stationery for legal services

Meeting and Diary Management

  • Arrange meetings on behalf of the legal services department
  • Take minutes and distribute them per legal governance standards
  • Maintain a follow-up plan for meeting resolutions
  • Confirm and schedule appointments with internal and external stakeholders

Document Control

  • Maintain an efficient filing system and ensure documents are up-to-date
  • Update court references and distribute court rolls received from registrars
  • Retrieve legal documents efficiently when required
  • Securely manage confidential case documentation
  • Maintain an updated database for court directives
  • Keep records of high-value foreign national cases for re-insurance purposes
